Summary: VocabMotion is an educational platform for K-8 students. We collect only what is necessary for the learning experience. We do not sell student data. We do not serve ads. We comply with COPPA and FERPA.

1. Who We Are

VocabMotion ("we," "us," "our") is operated by Visual Learning, based in Kalamazoo, Michigan. We provide AI-powered interactive science education tools for K-8 students through our website at www.visual-learning.org and our Android application.

2. Information We Collect

We collect the minimum information necessary to provide the educational experience:

  • Account Information: Name and email address (collected via Google OAuth sign-in through the school's Google Workspace).
  • Class Information: Grade level, class join code, and assigned teacher.
  • Educational Data: NWEA MAP scores (uploaded by teachers for differentiation purposes), simulation interactions (which simulations were opened, time spent, completion status), and content progress.
  • Device Information: We collect standard web analytics (browser type, screen size) solely for ensuring the platform works correctly on your device.

3. How We Use Information

  • Personalized Learning: NWEA data determines which of our 4 differentiation tiers (Challenge, Standard, Scaffolded, Supported) a student sees, ensuring age- and ability-appropriate content.
  • Progress Tracking: Teachers view aggregated and per-student progress to inform instruction. This includes which simulations students have completed and time engaged.
  • Platform Improvement: Aggregated, de-identified usage data helps us improve simulation quality and content delivery.

4. Information We Do NOT Collect

  • We do not collect precise geolocation data.
  • We do not collect contacts, photos, or files from student devices.
  • We do not collect financial or payment information from students.
  • We do not use cookies for advertising or behavioral tracking.
  • We do not serve any advertisements.

5. Data Sharing

We never sell student data. Period.

We share data only in these limited circumstances:

  • With the student's teacher: Teachers see their own students' progress data within the platform's teacher dashboard.
  • Service providers: We use Supabase (authentication and database hosting), Vercel (website hosting), and Neon (database). These providers process data on our behalf under data processing agreements.
  • Legal requirements: If required by law, regulation, or valid legal process.

6. Children's Privacy (COPPA Compliance)

VocabMotion is designed for use in educational settings with students ages 6-13. We comply with the Children's Online Privacy Protection Act (COPPA):

  • Student accounts are created through school-managed Google Workspace accounts. Teachers provide consent on behalf of the school acting as the parent's agent under COPPA's school consent exception.
  • We collect only educationally necessary information as described above.
  • Parents may review their child's information by contacting their child's teacher or emailing us directly.
  • Parents may request deletion of their child's data at any time.

7. FERPA Compliance

When used in a school setting, student education records are protected under the Family Educational Rights and Privacy Act (FERPA). We act as a "school official" with legitimate educational interest and:

  • Use education records only for the purposes for which they were disclosed.
  • Do not re-disclose personally identifiable information from education records without consent.
  • Follow the school's or district's direction regarding data retention and deletion.

8. Data Security

We protect student data through:

  • Encrypted data transmission (HTTPS/TLS on all connections).
  • Encrypted data storage (database encryption at rest via Supabase/Neon).
  • Role-based access controls (students see only their own data; teachers see only their class).
  • Google OAuth authentication (no passwords stored in our system).

9. Data Retention and Deletion

We retain student data for the duration of the school year. At the end of each academic year or upon request:

  • Teachers may request deletion of their class data.
  • Parents may request deletion of their child's individual data.
  • Schools or districts may request bulk deletion of all student data.

10. Third-Party Services

Our platform integrates with:

  • Google OAuth (Supabase Auth): For secure sign-in. Google's privacy policy applies to the authentication process.
  • YouTube (embedded educational videos): Some content includes embedded YouTube videos. YouTube's privacy policy applies when videos are played.

11. Android App (TWA)

Our Android application is a Trusted Web Activity (TWA) — a thin wrapper that displays our website in fullscreen mode. The app itself does not collect any additional data beyond what the website collects. All data processing described in this policy applies equally to the app and the website.

12. Changes to This Policy

We may update this privacy policy from time to time. We will notify schools and teachers of any material changes via email or an in-app notification. The "Last updated" date at the top will always reflect the most recent version.
